Decide who is booking and who is paying
Agree early on who is responsible for the booking and the payment. A booking involves a 30% non-refundable deposit, a signed Service Agreement and a signed Credit Card Authorization Form, so it is usually best handled by a parent or another adult, with the students deciding the group and the plan.
Book early
For proms, three to six months ahead is typical, because popular dates book early. Enquire as soon as the date is set, and gather your group size and preferences before you contact anyone.
Count the group and pick the vehicle
Confirm the exact number of students. A stretch limousine suits a smaller group, and a larger group may need a bigger vehicle or more than one. Our Lincoln MKT Stretch carries up to eight passengers, the Lincoln Navigator Stretch up to fourteen, and the Ford F-550 Party Bus up to twenty-two.
Write the itinerary down
Put the plan on one page: every pickup address and time, the photograph location, the venue, and the final drop-off. Share it with the parents of everyone in the group so that everybody knows where their child will be and when.
Plan photographs and arrival
Photographs usually take longer than expected. Build in time for them, and confirm the venue's arrival and pickup arrangements ahead of time. If the school or venue has rules about vehicles, ask in advance.
Agree on expectations
Talk through the plan and the rules of the evening before the night. Make sure everyone has a phone number for a parent or other responsible adult, and that the booking contact can reach the company on the night if anything changes.
Questions to ask before you pay
- What is the total price, including HST, and what does it cover?
- How much is the deposit and when is the balance due?
- What are the cancellation terms?
- How long does the vehicle stay with the group?
- Who do we call on the night?
